Privacy policy
NZ Heat Pumps collects only what it needs to size your room, price your job and get it installed. We do not sell your information, and we pass it to an installer only to do a job you have booked, or to another installer if you tick the referral box. This policy follows the Privacy Act 2020.

What we collect
- What you type into a form: your name, email, mobile, region, the installation address, whether you own or rent, details about the room and the house, and anything you write in a message.
- Booking and payment records:what you booked, the amount, and Stripe's session and customer references. Your card number is handled entirely by Stripe and never reaches us.
- Calculator use: the room figures you enter are worked out in your browser. An anonymous event (area, stud, insulation, region, resulting kW) is counted so we know the tool is being used. It carries no name, email or address.
- Basic technical data: pages viewed, referring page, approximate location from your IP address, and device type.
We do not use advertising trackers and we do not run remarketing pixels on this site.
Why we collect it
- To size your room, price the job and answer your question.
- To arrange the site check, the install and the electrical certificate with our contracted installer.
- To take a deposit, invoice the balance and handle refunds and warranty claims.
- To email you about your own job or waitlist entry.
- To keep the records the Companies Act, the Inland Revenue Acts and consumer law require us to keep.
- To count anonymously how the site and the calculator are used, so we can improve them.
Giving us your details is voluntary, but without them we cannot quote, book or install anything for you.
Who we share it with
- The contracted installer for your job, who gets your name, contact details, the installation address and the job details — only for a job you have booked, and only what they need to do it.
- Another installer, only if you ask. If we cannot cover your area we will tell you, and pass your details on only if you tick the referral box. We tell you who first, and we may receive a fee.
- Our service providers, listed below, who process information on our instructions.
- Anyone we are legally required to disclose to, such as Inland Revenue or a court.
We never sell your information, and we do not pass it to heat pump brands.
Overseas providers
Some of our providers store information outside New Zealand. In each case we rely on the provider being subject to privacy safeguards comparable to the Privacy Act 2020, as Information Privacy Principle 12 requires.

How long we keep it
- Bookings, invoices and job records: 7 years, as tax law requires.
- Quote requests and waitlist entries that go nowhere: 24 months, then deleted.
- General messages: 24 months.
- Anonymous analytics: retained by PostHog under its own retention settings; it holds no identifying details from us.
Keeping it safe
The site is served over HTTPS. Payments run entirely on Stripe's hosted checkout. Our records are held in access-controlled accounts with two-factor authentication. No system is perfect; if a privacy breach ever caused you serious harm we would notify you and the Office of the Privacy Commissioner as the Privacy Act requires.
Your rights
Under the Privacy Act 2020 you may ask for a copy of the personal information we hold about you and ask us to correct anything wrong. You can also ask us to delete information we are not legally required to keep, and to stop emailing you. Ask through our contact form and we will reply within 20 working days.
If you are unhappy with how we have handled your information you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Cookies
We set no advertising cookies. PostHog sets a first-party cookie to avoid counting the same visitor twice, and Stripe sets cookies on its own checkout page to run the payment securely. Blocking cookies in your browser will not stop you using this site, though the calculator may forget what you typed.
